Pizza has arguably the hardest phone order in food service. A single call can involve two sizes, a half-and-half topping split, a crust choice, a modifier like "light sauce" on one half only, a side, a drink, and a coupon, all delivered fast by a regular who expects you to keep up. Do that ten times in the same fifteen minutes on a Friday night, and you understand why so many pizza calls simply go unanswered.
That gap is the problem worth solving. The recurring industry estimate is that roughly one in four restaurant calls goes unanswered at peak. Treat it as an estimate rather than a measured fact. For a pizzeria, the missed ones cluster in the exact window when each order is worth the most.
The rush is a concurrency problem
A person takes one call at a time. A voice agent takes as many as are ringing, simultaneously. Both ovens are loaded. A driver is standing by the make table waiting on the last pie of a three-stop run. There's a walk-in at the counter paying cash, and the cut station is behind. The phone rings.
Somebody answers it with a knife in one hand. The caller wants a large half pepperoni half sausage, thin crust, well done, extra cheese but only on the sausage half, a two-liter, and they have a coupon code they read off their phone twice because the first read got lost under the hood vent. That call takes four minutes. During those four minutes the phone rings twice more and both callers hear a busy tone.
With an agent on the line, the shape of that same ten minutes changes. All three calls get answered at once. The one with the coupon takes as long as it takes, because the agent has nothing else to do and no knife in its hand. The other two get priced and fired. Your counter person stays at the counter.
That is the honest version of the benefit. It isn't that the agent is a better order-taker than your best employee on a slow Tuesday. It's that on a Friday, your best employee is doing four things and the agent is doing one.
Modifiers are where accuracy is won or lost
The interesting engineering in pizza isn't the voice. It's the order. Half pepperoni, half mushroom, extra cheese on the mushroom side, thin crust, well done: that's a completely normal request, and the agent has to both understand it and translate it into a ticket your kitchen can actually make. The agent understood the caller perfectly. The mapping between what the caller said and what your menu can express is where the order degraded.
You find this by testing, not by reading a spec sheet. The modifier handling has to be checked against your own menu, on your own POS, with the orders your regulars actually place. Do it in the first week, while a mapping fix is cheap and nobody has eaten a wrong pizza yet.
The other half of the failure question is what happens when the agent shouldn't be finishing the call at all. A caller with a complaint, a driver reporting a bad address, or someone ordering twenty pies for an office needs a person. Decide those rules deliberately, the way human handoff and failover lays out, rather than inheriting whatever the vendor shipped.
The four numbers to check in your first month
Track these and you'll know within thirty days whether it's working, without relying on a vendor dashboard to grade its own homework:
- Answered calls during your two busiest hours, compared to the same hours before you turned it on. This is the number the whole thing rests on.
- Order accuracy on modified pizzas specifically, measured by pulling tickets and comparing them to transcripts. Plain cheese pizzas will always look fine. Check the complicated ones. The accuracy measurement method matters more than the headline percentage.
- Average phone ticket, before and after. Consistent attach offers usually move this a little.
- Remakes and refunds traced back to phone orders. If this rises, stop and find the mapping problem before you scale anything.
Upsell without the awkwardness
Pizza has natural attach items, a two-liter, garlic knots, a dessert, that a busy human order-taker forgets to offer about half the time.
