How to Set Up AI Phone Ordering in Under 30 Minutes

What You Need Before Starting

Before setup, make sure you have:

  • An active POS system (Square, Clover, OrderCounter, or OrderOut)
  • Admin access to your POS account (for menu sync authorization)
  • Your restaurant's business hours
  • A phone number you want to forward (or you can use the new number we assign)

Step 1: Create Your Account (2 minutes)

Sign up at x1voice.com with your restaurant name and contact info. Choose your plan — Starter ($250/mo) is perfect for getting started.

Step 2: Connect Your POS (5 minutes)

Click "Connect POS" and select your system. For Square, it's a one-click OAuth login. For other systems, enter your API credentials. The connection is established immediately.

Once connected, X1 Voice automatically imports your complete menu:

  • All categories and subcategories
  • Every menu item with descriptions and prices
  • All modifier groups (required and optional)
  • Size options and size-specific pricing
  • Current availability and stock status

Step 3: Review Your Menu (10 minutes)

Your imported menu appears in the dashboard. Review it to make sure everything looks right:

  • Check that categories are organized correctly
  • Verify prices are current
  • Confirm modifier groups are complete
  • Mark any items as unavailable (86'd) if needed

The AI agent will know everything in this menu — every item, every modifier, every price.

Step 4: Configure Your Agent (5 minutes)

Set up how your AI agent behaves:

  • Greeting: "Hi, welcome to [Restaurant Name]! How can I help you today?"
  • Business hours: When the agent is active (24/7 or custom schedule)
  • Transfer number: Where to route calls the AI can't handle
  • Payment threshold: Minimum order amount that requires prepayment
  • Estimated prep time: Quoted to callers when they place an order

Step 5: Get Your Phone Number (1 minute)

A dedicated local or toll-free phone number is assigned from our inventory. This is your restaurant's AI phone line.

You can either:

  • Forward your existing number to this new number (set up in your phone provider's settings)
  • Use the new number directly and add it to your website, Google listing, and marketing materials

Step 6: Test It (5 minutes)

Call your new number and place a test order. Try:

  • Ordering a simple item ("I'd like a large cheese pizza")
  • Adding modifiers ("with extra pepperoni and light sauce")
  • Asking a question ("What are your hours?" "Do you have gluten-free options?")
  • Requesting a transfer ("Can I talk to someone?")
