Designing a Curbside Pickup Flow That Starts on the Phone

Curbside works when the handoff is choreographed. What the phone call has to capture, where the flow usually breaks, and how to judge a phone system.

Curbside pickup succeeds or fails on a handoff that takes about ninety seconds: a customer parks, someone inside knows they're there, and a bag reaches the right car. Everything upstream — the ordering, the cooking, the packing — can be flawless and the customer still leaves annoyed if that last ninety seconds is a person wandering a parking lot holding a bag and calling a name.

Most of what makes that handoff work is decided on the phone call, long before anyone parks. This piece is about what the call needs to capture, where curbside actually breaks, and how to think about a phone system's role in it.

What the call has to capture

A curbside order needs strictly more information than a walk-in pickup order. The additions are small, and skipping them is what creates the parking-lot search:

Any phone system taking curbside orders should be capturing these as structured fields on the order, not as a note buried in special instructions where the expo won't read it. That's the same principle that makes modifier handling matter: information that arrives as unstructured text tends to be information nobody acts on.

Where curbside actually breaks

Four failure points, in rough order of how often they cause a bad experience:

The arrival signal. The customer parks and now has to tell you. If your answer is "call us," you've routed your curbside traffic onto the same line your ordering traffic uses, at exactly the moment both are busiest. That's a genuine operational trap. A text-based arrival signal, or a marked-spot system where the runner just watches the lot, avoids it.

Nobody owns the lot. Curbside without an assigned person becomes everybody's job, which means it's nobody's job during a rush. The bag sits. The customer waits eleven minutes and decides curbside at your place doesn't work.

The order isn't ready when they are. Curbside customers arrive on the estimate you gave them. If your quoted time is optimistic, they're sitting in a car watching your door, which feels much longer than waiting inside where there's something to look at.

Wrong car, wrong bag. Solved almost entirely by capturing the vehicle detail and reading the name back at the window.

Notice that only the first is really a technology problem. The rest are staffing and timing, which is worth saying plainly: buying software doesn't fix a curbside process nobody owns.

The phone line problem is the one worth solving

If you take one thing from this: the arrival call is the expensive part. Every curbside customer who calls to say "I'm here in the silver Civic" occupies a line and a staff member for thirty seconds during your peak — and they'll do it at the same time as everyone else, because rushes cluster.

That's the same tax as the "is my order ready?" callback, and it has the same fix: give the customer a channel that isn't your phone line. If you're already texting customers status updates as their order progresses, the natural extension is a message the customer can reply to on arrival. Whether a given system supports that reply path is worth asking directly, because it varies, and a number that silently swallows replies is worse than no number at all.

The alternative that requires no software: numbered spots and a sign that says "text your spot number to X" or, simpler, a runner whose job during peak is to watch the three curbside spaces. Low tech, works fine, costs labor.

Where a phone agent helps and where it doesn't

Being straight about the boundary: a voice agent's clear contribution to curbside is on the ordering side. It answers when your staff can't, takes the order accurately, captures the vehicle and contact details as part of the order, and lands it in your POS so the kitchen sees it as a normal ticket. During a rush, that's the difference between capturing a curbside order and missing the call entirely, which is the most expensive thing your phone does.

What it doesn't do is run your lot. It won't tell you your quoted times are ten minutes optimistic, and it won't decide who's carrying bags out at 6:45. Those are yours. A vendor who implies otherwise is overselling.

A simple test of any setup

Before committing to a curbside flow, place a live test order as a customer:

  1. Order for curbside and see whether the system asks for vehicle details unprompted, or only if you volunteer them.
  2. Check that the vehicle and contact info actually appear on the ticket your staff sees — not just in the vendor's dashboard.
  3. Time the quoted estimate against reality on a busy night. Twice.
  4. Park in your own lot and count how long until someone comes out.

Step four is the one operators skip and the one that changes minds. The customer experience of curbside is almost entirely that wait.

The bottom line

Curbside is a choreography problem with a small data dependency. The phone call's job is to capture the name, the mobile number, and the car, and to get the order into the kitchen with a time estimate you can actually hit. The lot's job is to have someone who owns it and an arrival signal that doesn't eat your phone line. Get those right and curbside is quietly good; get the arrival signal wrong and you've just invented a new way for your busiest hour to get busier.
